An awards night planning checklist: staging, run of show and reception

A practical checklist for an awards night at an awards dinner venue in London, covering staging, run of show, two-camera recording and reception flow.

An awards night has a lot of moving parts, and most of them have to happen in the right order in front of a room full of guests. This checklist covers the parts planners tend to worry about most: seating a big banquet, getting the stage and lighting right, recording the night, running the show to time, and bringing a guest of honour in by river. Here is how a night for up to 350 people can come together at Arcadia Riverside.

Set the room for the numbers

Start with the headcount, because it decides everything else. The Arcadia Ballroom is licensed for 350. It seats 330 for a served banquet and holds 350 for a standing reception, all on one floor with lift and step-free access. A gala usually mixes both: a drinks reception as guests arrive, then a move to round tables for dinner and the ceremony. If the drinks list is larger than dinner, Castle Green Hall publishes 606 standing on the ground floor.

Staging and lighting

The ballroom has a fixed, broadcast-ready stage, so you are not building a platform from scratch or losing floor space to scaffold. Work through these early:

  • Stage size against your format. A host plus two presenters needs less than a live band with a category screen behind them.
  • A lectern position and a clear walk-on route from the tables.
  • Lighting states: a warm look for dinner, a brighter wash for the ceremony, and a spot for each winner’s walk-up.
  • A screen for category slides, sponsor names and the running order.
  • Sound that carries to the back tables without drowning the room during dinner.

Record it once, use it all year

Winners want the clip. Sponsors want proof their name was on screen. On the Broadcast package, Arcadia AV records the night on two cameras and can livestream it for people who cannot be there. Agree in advance who receives the recording, how quickly, and whether any of it goes out live.

Build the run of show

The run of show is the minute-by-minute plan that keeps the night on time. Draft it with your coordinator and share it with the AV team, the caterers and the host. A workable shape looks like this:

  • Doors and drinks reception.
  • Guests seated, welcome from the host.
  • First courses served, first block of awards.
  • Main course, second block.
  • Headline award, then a short speech from the winner.
  • Dessert, close, and music or dancing to finish.

Catering and getting everyone home

Dinner for a room this size runs through our in-house kitchen, with approved caterers available and menu flexibility for different cultural requirements. Settle the menu, the dietary list and the service timing against your run of show so courses land between award blocks rather than across them.

Getting here is straightforward. The venue is about 22 minutes by car from central London, a few minutes from the A13, 42 minutes from Fenchurch Street on the Overground to Barking Riverside, and 24-hour buses run nearby for a late finish. There are more than 50 free parking spaces on site, so guests driving in are not hunting for a space or a meter.
