Day delegate packages explained: what to expect and what to ask

A day delegate package, sometimes called a DDR or day delegate rate, is a per-person price that bundles the things a conference needs into one number. Instead of pricing the room, then the screen, then the coffee, then lunch, you multiply one rate by your headcount and you have most of your budget. It is a simpler way to book, but only if you know what sits inside the rate and what does not.

What a day delegate package usually includes

The point of a DDR is that the essentials for a working day are already in the number. At most venues that means:

• Room hire for the day
• A screen and the core AV to present from
• Wi-Fi for your delegates
• Arrival tea and coffee, plus morning and afternoon breaks
• Lunch
• Stationery: pads, pens and the basics on the table

Read that list as the floor, not the ceiling. A good package covers a delegate from the moment they arrive to the moment they leave without you buying extras on the day. If a quote leaves out breaks or Wi-Fi, that is not a cheaper package, it is a shorter one, and the gap lands on your card later.

What changes between tiers

Most venues offer more than one tier, and the differences are usually easy to spot once you know where to look.

Catering is the big one. A working lunch of sandwiches and salad is a different rate from a hot fork buffet or a served two-course meal, and refreshment breaks range from tea and coffee to pastries, fruit and something in the afternoon. AV is the other lever. A screen and a handheld mic sit at one level; full stage, lighting and our two-camera live recording sit higher. Room and layout move with your numbers too. A meeting for 30 in one of our meeting rooms is a different rate from a main session for 350 in the Arcadia Ballroom. Set your headcount and layout in the capacity finder and you will see which space fits before you talk numbers.

The “no hidden extras” principle

The whole appeal of a delegate rate is that the final invoice matches the quote. The way to protect that is to ask what is not included, out loud, before you book. Corkage. Overrun charges if the room runs past its booked hours. Extra AV brought in on the day. Parking, though ours is 50+ free on-site spaces, so that one is off the list here.

A package that hides charges to look lower is worse than a straight one that shows you everything. Ask for the full inclusions in writing and check the exclusions line by line. If a venue cannot tell you plainly what triggers an extra charge, treat that as the answer.

What to ask before you book

Four questions sort a clear package from a vague one. What exactly is in the per-person rate? What are the catering and AV options at each tier, and what do they add? What is not included? And is there a minimum number of delegates for the rate to apply? Get those in writing and you can compare venues on the same basis instead of guessing.
