How to choose a large conference venue in East London

Booking for 200, 300 or 350 delegates? Here is how to judge a large conference venue in East London against the things that decide whether the day works.

Most East London rooms sold as “large” still split a main session once you pass a few hundred seats. Overflow screens and a second hall for the keynote are common. Neither is what you booked. If you are looking for a large conference venue East London can actually fill in one licensed room, here is what to check before you sign.

Can it seat everyone in one room?

This is the first question, and the honest answer at most venues is no. A single space that holds your whole audience keeps the energy in one place, saves you a second AV rig, and means no delegate spends the keynote watching a relay.

The Arcadia Ballroom is licensed for 350. Theatre, classroom and standing reception all publish at that figure; banquet is 330 and cabaret is 264. That is the bookable ceiling for one room, so a 350-delegate main session stays together. If the programme is larger, Castle Green Hall is a second 350-seat theatre on the ground floor — use it as a parallel session, not as overflow for a keynote that did not fit upstairs. Set your numbers in the capacity finder and see which layout fits.

Is the AV in-house or hired in?

On a big stage, AV is where days go wrong. An outside crew that has never worked the room, a rig that arrives the morning of, a livestream nobody tested: any of these can cost you the opening session.

Arcadia AV is our own team on our own kit. The Ballroom stage is broadcast-ready and fixed, so there is no build from scratch each time. On the Broadcast package you get two-camera live recording and livestreaming, which matters if part of your audience is remote or you want the sessions afterwards. One team owns the room, the rig and the stream, so there is a single point of contact when something needs changing at 8am.

How do 350 people actually get there?

A room that seats 350 is only useful if 350 people can reach it without a fight. Check the door-to-door journey, not just the postcode.

We are 42 minutes from Fenchurch Street on the Overground (the Suffragette line) to Barking Riverside, or about 22 minutes by car from central London. Uber Boat by Thames Clippers also serves Barking Riverside Pier for guests who want a river leg into the district, then a local connection to the venue. Drivers reach the venue a few minutes off the A13, and there are 50+ free on-site parking spaces. The 24-hour buses (EL1, EL2, EL3) cover the early build and the late pack-down. Worth flagging to your delegates: the venue sits inside the ULEZ zone. Full routes are on our getting here page.

Can it feed the room, and can everyone use it?

Catering for several hundred is a logistics job, not an afterthought. We handle it in-house and work with approved caterers, with real flexibility on cultural menus so the food fits your audience rather than the other way round.

Access matters just as much. The Ballroom is on the first floor with lift and step-free access, so a wheelchair user reaches the stage and the tables the same way everyone else does. If you would rather stay at ground level, Castle Green Hall is fully step-free with its own entrance and holds up to 350 in theatre, or 606 standing.

A quick checklist

Before you commit to any large venue, get clear answers on five things: one-room capacity at your real headcount and layout (including licensed occupancy), whether the AV team and rig are in-house, the door-to-door transport for your delegates, parking numbers, and step-free access to the stage. If a venue is vague on any of them, keep asking.
