Half your audience is in the room. The other half is watching from a desk somewhere. A hybrid conference has to work for both at once, and the part that usually breaks is the picture. One fixed camera at the back of a hall gives remote viewers a grey wide shot and a speaker the size of a thumbnail. People drift off within minutes.

Why in-house AV matters

You brief one team, not three. There is no gap where the venue points at the caterer, the caterer points at an outside AV supplier, and the supplier has never seen the room. The stage is broadcast-ready and fixed, so lighting and camera positions are set for the space rather than improvised on the morning. When something needs adjusting mid-session, the people who can fix it are already on site.

Outsourced AV can be excellent. It also adds a handover, a second invoice and a set of assumptions about a room the crew met that morning. Keeping it in-house removes those.

What two cameras actually deliver

The Broadcast package runs two-camera live recording and livestreaming. In plain terms, that means two operated angles instead of one static frame.

A typical setup gives you a wide shot that holds the whole stage and a tighter shot on the speaker or the slides. Cutting between them keeps the picture alive, so a remote viewer watches a person rather than a distant silhouette. Graphics, slides and lower-thirds sit in the same feed. The livestream goes out to whatever platform you are using, so people who could not travel still see the keynote as it happens.

For the in-person audience, nothing about this gets in the way. The cameras work around the room, not through it.

Keeping the edited footage

The recording does not end when the room empties. You keep the footage.

That is the part planners tend to undervalue on the day and rely on for months afterwards. A single conference becomes clips for social, a full session for anyone who registered but missed it, on-demand video for a members’ area, and quotable moments for next year’s marketing. The two-camera source gives an editor something to actually cut with, because there is a choice of angle in every shot.

Running one room for two audiences

A hybrid day is really two events sharing a stage, and the room has to serve both. A few things make that easier here.

The Arcadia Ballroom seats 350 in theatre layout on a single first-floor level, with lift and step-free access, so a large in-person audience stays in one licensed room. The fixed stage means the broadcast angles are consistent from the first session to the last. And because the coordinator, the caterers and the AV crew are all in-house, the running order is held by one team rather than negotiated across suppliers during the coffee break.

Good hybrid production is mostly about rehearsal and clear cues. When the people calling those cues share a room and a radio channel, the remote feed and the live agenda stay in step. That is the difference between a stream that feels like a broadcast and one that feels like a security camera.
